How TCs Can Send an Invite to Agents to Complete AVIDs on Glide

Use your smartphone to open a link (email or text message) and complete an AVID on the go.

In this article, agents learn how to complete an Agent Visual Inspection Disclosure form - or AVID - on a mobile device by clicking the link shared via email or text message from their TC or Team Member.

Note: AVID is only available in California.

  • In this scenario, a transaction coordinator (TC) sends the listing agent an email with a link to an AVID form. The agent uses a smartphone to open the email, click the link, and complete the AVID workflow on Glide. The agent also sends the AVID form to the seller for signature. This process can also allow the Agent to receive the invite via SMS (text message), depending on the Agent's preference.

To complete this work, we cover four steps:

1. Invite an agent.

2. Open the form.

3. Add property observations.

4. Send the form for signature.

1. Inviting an agent

This section shows you how a TC can create and send an invite for a listing transaction.

  • In this example, the TC creates and sends an invitation using a mobile device.

1. On the Glide home page, select a transaction.

2. On the Transaction Overview page, click Disclosure Package.

3. Scroll down to Complete AVID and click the Fill AVID.

  • Follow through the workflow. To invite an agent to complete the workflow, hit the close button on the top left side of the page.

4. Then, select Change to invite an Agent, then identify the procedure on how to send the invite along with who to send the invite to.

5. Click Send Now. The agent receives a link to an AVID form.

2. Opening the form

In this section, the agent opens the message and clicks the link on their mobile device.

  • In this example, the agent opens an email message.

We suggest agents take the following steps:

1. Open a browser tab and log into Glide on your mobile device.

2. In a new browser tab, open the TC's message and click the Get Started button.

3. On the Glide website, enter the name of the brokerage for the transaction and then click Next.

  • In this example, we enter Glide Labs.

4. Enter the inspection date and time and then click Continue.

  • In this example, we use the default settings. You can change that information.

5. Enter the weather conditions on the day of the inspection and then click Continue.

  • You can use the default weather conditions that are automatically added for your location or edit the information.

6. Enter the names of the people present for the inspection besides yourself (if applicable).

  • In this example, no other people were present, so we enter the words Just me.

7. Click Continue.

3. Adding property observations

On the next page, add your property observations to the form.

1. Click the Add New button

2. On the Add Property Observations page, select a space.

  • In this example, we select Bedroom.

3. Give the bedroom a number.

  • You can change the figure according to the number of bedrooms in the property. This feature allows you to make observations for specific bedrooms.

4. Enter your comments.

  • In this example, we enter "crack in wall near window."

5. Click the Take Photo button (optional).

  • You can take a picture from your device and attach it to the AVID form to confirm or add additional insights to an observation. This step is optional, but you can easily take a photo while you are on the property and upload it to the AVID form in one step.

6. Click the Attach File button (optional).

  • Use this feature if you want to add a document or other file to the observation. In this example, we’re not going to attach any files.

7. Click Save. The observation of that space is recorded.

8. To add more observations, click the Add New button and repeat the steps.

  • Click Edit if you want to change the information in the observation.

  • Click Done after you finish the last observation.

9. After you click Done, answer a question about additional observations not mentioned before.

10. Click Continue.

11. On the next page, answer the question about an addendum.

  • In this example, we do not have an addendum.

12. Click Continue to close the observations section.

4 Sending the form for e-signature

After you complete the observations section, Glide creates a pdf. Now you have two choices: download the form or send the document for e-signature.

  • In this example, we click the Sign with DocuSign button, which gives us two send options.

1. At the top of the Prepare Signature Package page, select one send tool: Glide Signatures or DocuSign.

2. Scroll down and inspect the list of documents.

  • Click the X icon to remove a file from the list.

  • Use the upload tool to add documents if required.

3. Scroll down to the two checkboxes.

  • Check the first box if you want Glide to automatically add signature tabs to all the documents you send.

  • Check the second box if you want Glide to replace the original documents in the transaction folder with fully executed documents once the buyer signs them.

Using Glide Signatures

1. Check the circle next to Glide Signatures.

  • After you complete the Prepare Signature Package review, click Continue at the bottom of the page.

2. On the next page, verify the recipients.

  • Add or remove recipients (optional).

3. Check the sign status of each recipient and then click Continue.

  • Click the Needs to Sign field and change a recipient to CC, so they are not added as a signing party (optional).

4. On the Preparation Tools page, review the documents for signature, initials, and date tabs.

  • On the next page, you have one last chance to review the package and make changes if required.

5. Click Continue at the bottom of the page.

  • Glide sends the package for signature.

Using DocuSign

1. Check the circle next to DocuSign.

  • If your DocuSign account is not synced with Glide, click Link Account and enter your DocuSign account credentials.

2. On the next page, verify the recipients.

  • Add or remove recipients (optional).

3. Check the sign status of each recipient and then click Continue.

  • Click the Needs to Sign field and change a recipient to CC, so they are not added as a signing party (optional).

4. On the Review and Sync page, check the envelope one more time and then click Continue.

5. On the Prepare Envelope page, scroll down the page and verify the DocuSign envelope's information is correct.

6. Click the NEXT button.

7. On the Add Fields page, scroll down the page to check the completed form and images, if you added pictures to the observations.

  • Add extra tabs to the document if required.

8. Click the SEND button.

Checking form status

Glide returns to the Transaction Overview page.

1. Scroll down the page to Quick Access.

2. Click Manage in the AVID box.

  • Glide displays the status of the e-signature request.
